This policy is to provide a framework for the coverage, production, approval and distribution of all District Media. Media includes: Video Programs for Channel 77; print materials; and websites.
All requests must be made via the Media Requests: Event/News Items Submission form. You may request this form from the Media Department and submit it either electronically or via Interoffice Mail.
TIMETABLE for Requests
The following is a timetable for requests. Please note: incomplete requests may lead to a delay in delivery.
VIDEO
The final output will be provided in either electronic or hard copy. Please specify the desired output on the Media Requests form. The timetables below do not account for making multiple copies or sending projects out to a printer. Contact the Media Department for these types of requests.
o Submissions for the Parents Newsletter must be made by the 15th of the month to be considered for inclusion in the next issue.
o Flyer requests must be submitted no less than 1-2 days prior to delivery date.
o Press releases will be sent out based on the event date and the newspaper deadline. Please allow up to 2 weeks for submission to weekly papers. Releases will be based on the information provided by the requestor. Information that is incomplete may result in missing a publication deadline. Additional information may be submitted with the Media Requests form. Please include the names of all parties/organizations to be included in the release, along with event details. The purpose for the event should be stated. You may be contacted for more information.
o Presentations must be submitted as follows:
ü THREE (3) business days in advance for presentations up to 10 slides
ü FIVE (5) business days in advance for presentations from 11-25 slides
ü Please contact the media department for presentations over 25 slides
o All content, information and graphics must be submitted at the same time. The Media Department will layout the presentation and make any technical enhancements, as needed.
o Brochures, Ads, Mailings or Other Print Requests
ü Please contact the Media Department for any other requests.
Project APPROVALS
Upon receipt of the Media Request form, each project will be evaluated, approved, prioritized and assigned. You will receive a confirmation when your project has been approved and assigned.
All content and materials provided MUST be in final draft and approved by your department head or school administration. You will be provided an opportunity to approve and sign off on the final media output prior to delivery. Delays in final approvals will affect delivery of your project.
QUALITY CONTROL/Testing
The Media Department will run a quality control check on programs for Channel 77. In addition, technical checks will be done for output of files for the website.
Project Flow, Updates and Changes
All media requests, updates and changes must be made thru the Media Department. Vendors will be unable to make changes without proper authorization.
Permissions and Consent Forms
Consent forms or other permissions must be made available by the requestor to the Media Department PRIOR to the event. The event coordinator should be prepared to identify those students or parties who have provided consent and MUST notify the videographer/photographer PRIOR to shooting. The Media Department reserves the right to deny coverage of an event without following this procedure. Each school has a list of parent consent forms available starting from the beginning of the school year.
